What Is the Eisenhower Matrix?

The Eisenhower Matrix is a time management framework that organizes tasks into four quadrants based on urgency and importance. Named after President Dwight D. Eisenhower, this method helps you focus on what truly matters and avoid spending time on low-value tasks.

Quadrant 1: Do First

Urgent and important. Tasks that need immediate attention, like deadlines, crises, or time-sensitive decisions.

Quadrant 2: Schedule

Important but not urgent. Tasks that contribute to long-term goals, like planning, learning, or relationship-building.

Quadrant 3: Delegate

Urgent but not important. Tasks that feel pressing but do not advance your goals, like some meetings or routine requests.

Quadrant 4: Eliminate

Not urgent and not important. Tasks that waste time, like excessive social media or busywork with no clear purpose.

Mapping Quadrants to TaskForge Priorities

TaskForge offers six priority levels. Here is how to map the four Eisenhower quadrants to TaskForge priorities for a clean, actionable system.

You can also use the Lowest and None priority levels for tasks you want to track but have not yet categorized.

Visualize with Kanban Boards

Tags are optional. If you prefer a simpler system, priorities alone are sufficient for the Eisenhower workflow.

Daily Eisenhower Workflow

Follow this daily routine to keep your Eisenhower system running smoothly.

Morning triage

Open your inbox or today list. For each new task, assign a priority level based on its urgency and importance.

Focus on Do First

Start your work session with Quadrant 1 tasks. These are urgent and important, so tackle them before anything else.

Schedule Quadrant 2

Review your Schedule list and assign dates to important tasks. This prevents them from becoming urgent later.

Batch Quadrant 3

Group delegate tasks together and handle them in a single block. Set a time limit to avoid spending too long here.

Review Quadrant 4

At the end of the day, check your Eliminate list. Cancel or archive tasks that are truly not needed.

Weekly Review with Recurring Tasks

Set up a recurring task for a weekly Eisenhower review. During this review, re-evaluate priorities across all four quadrants.

  • Are any Quadrant 2 tasks becoming urgent? Move them to Do First.
  • Have any Quadrant 3 tasks been sitting too long? Delegate or eliminate them.
  • Is your Eliminate list growing? Be more aggressive about saying no.
  • Are you spending enough time on Quadrant 2? This is where long-term growth happens.

Tips for Success

Start simple

Begin with just priorities. Add tags and smart lists later as your system matures.

Default to Quadrant 2

Most tasks are important but not urgent. When in doubt, assign High priority and schedule a date.

Add your Do First smart list as a home screen widget on iPhone or Android for constant visibility.

Set reminders for scheduled tasks

Review regularly
